Job Title: Accounting Assistant

Reports To: Finance Manager

Position Summary
We are seeking a detail-oriented and reliable Accounting Assistant with prior experience to support our financial operations. This role is responsible for performing daily accounting functions, including maintaining accurate financial records, processing transactions, and completing account reconciliations. The ideal candidate will have hands-on experience in accounting or bookkeeping, a strong understanding of accounting principles, and a high level of accuracy and confidentiality.

This position is best suited for an experienced professional who can contribute immediately to the efficiency, organization, and integrity of the Accounting department.

Key Responsibilities

  • Perform accurate and timely data entry for accounting records, including accounts payable, accounts receivable, and expense tracking
  • Assist with bookkeeping functions, including maintaining financial records and documentation
  • Support preparation and tracking of Profit and Loss (P&L) statements
  • Review invoices, billing statements, and financial documents for accuracy and completeness; report discrepancies promptly
  • Process expense reports and employee reimbursements in accordance with company policies
  • Reconcile invoices, accounts, and financial discrepancies
  • Generate and distribute accounting reports as directed by management
  • Assist with payroll-related administrative tasks as needed
  • Provide general administrative support, including handling mail, answering phones, and filing documents
  • Maintain confidentiality of all financial and employee information
  • Perform additional duties as assigned to support the Accounting team

Qualifications & Skills

  • Associate’s degree (AA) in Accounting, Finance, or a related field required
  • Basic knowledge of bookkeeping and accounting principles
  • Familiarity with payroll processes and compliance requirements preferred
  • Proficiency in Microsoft Excel and experience with accounting software (e.g., QuickBooks or similar systems)
  • Strong mathematical and analytical skills with high attention to detail
  • Ability to identify and resolve numerical discrepancies
  • Excellent organizational and time management skills
  • Ability to handle sensitive and confidential information with discretion
  • Strong communication skills and ability to work collaboratively in a team environment

Preferred Qualifications

  • Prior experience in an accounting or bookkeeping role
  • Experience supporting financial reporting and reconciliations

Work Environment & Expectations

  • Primarily office-based role with regular use of computers and accounting systems
  • Requires accuracy, consistency, and adherence to internal controls and financial procedures
  • Full-cycle Accounts Payable and Accounts Receivable (invoicing, collections, vendor payments)
  • Advanced Microsoft Excel skills (pivot tables, VLOOKUP, data analysis)
  • Audit support and document preparation
