Mail/Scanning Specialist

The Mail Room/Scanning Specialist is responsible for receiving, processing, scanning, and distributing incoming and outgoing mail and documents. This role plays a critical part in ensuring accurate document handling, timely distribution, and proper electronic recordkeeping. The ideal candidate is detail-oriented, organized, dependable, and comfortable working with high volumes of paperwork and scanning equipment.

Position Details:

• Pay: $18
• Schedule: Monday-Friday 8am-4:30pm

Essential Job Duties:

• Receive, sort, log, and distribute incoming mail and packages
• Prepare outgoing mail, including sorting, labeling, and coordinating shipments
• Scan documents using high-volume scanners and index files accurately into electronic systems
• Verify document quality, ensuring scans are clear, complete, and properly classified
• File and store physical documents according to established retention policies
• Maintain confidentiality of sensitive and proprietary information
• Track and document mail and scanning activity as required
• Operate and maintain mailroom and scanning equipment, reporting issues as needed
• Assist with document retrieval requests from internal departments
• Support additional administrative or clerical tasks as assigned

Required Skills & Qualifications:

• High school diploma or equivalent required
• Strong attention to detail and accuracy
• Ability to handle repetitive tasks and high volumes of documents
• Basic computer skills with the ability to learn document management systems
• Familiarity with office equipment (scanners, copiers, printers)
• Strong organizational and time management skills

Preferred Qualifications:

• Previous experience in a mailroom, document scanning, or clerical role
• Experience with document imaging or records management systems
• Ability to lift and move mail bins or boxes (as required by the role)
